Ultrabooking Solutions Privacy Statement
At Ultrabooking Solutions, we respect the privacy of you and your guests, and are committed to protecting it. This Privacy Statement is meant to inform you of how we collect, use and protect you and your guests' personal information.
Information collected
In addition to your contact and billing information recorded with us, Ultrabooking Solutions must obtain personal information from your guest that is necessary to complete the reservation process. This information includes your guests' name, email address, mailing address, telephone number, credit card information, check-in and check-out dates as well as special accommodation requirements.
Once acquired, in addition to a selected limited number of Ultrabooking Solutions' employees, this information is only available to you and your authorized personnel for retrieval from the database.
Ultrabooking Solutions is in no way liable or responsible for the handling of your guests' personal information by your company. You are responsible for enforcing and maintaining your own privacy policy regarding the information provided by your guests during the online reservation process.
Additionally, you are also responsible for safeguarding any information such as credit card numbers that you may retrieve from Ultrabooking Solutions to record in printed form and/or on your computers.
The use of collected information
Your guests' personal information is used to facilitate the provision of our services, and allow your company to provide these services to your guests. For example, emails are automatically sent out for reservation confirmation, pre-arrival and post-stay.
The sharing of information
We currently do not and have no intention of using your guests' personal information in connection with any of our marketing activities. However, we do not have control over whether your guests' personal information is used for marketing or other activities by your company.
Ultrabooking Solutions does not sell, rent or lease your guests and your personal information to anyone. We will disclose individual personal information if we are required by a court of law.
In relation with the performance of our services, Ultrabooking Solutions contracts with third-party service providers. For example, we use a top of the line payment gateway to connect to major payment processors. These third-party service providers are required to keep confidential the information received on behalf of Ultrabooking Solutions and may not use any such personal information for any purpose other than to carry out the services they are performing for Ultrabooking Solutions. These service providers may change or we may contract with additional service providers to better serve our customers.
Ultrabooking Solutions may also combine with Sales Partners for cooperative marketing or be acquired by another business entity, in which case your information (not your guests) may be shared with such entity. All of which are subject to the requirements of this Privacy Statement.
Security
Ultrabooking Solutions is committed to protecting the information that you and your customers provide to us, prevent unauthorized access or disclosure, maintain data accuracy, and ensure the appropriate use of the information.
Physical and managerial procedures are taken to safeguard the servers and information we collect. Various systems, layers of access codes and monitoring to prevent unauthorized access are employed.
Authorized access to your guests and your personal information is restricted to a selected limited number of our employees with a reasonable need for such access. Additionally, 128 bit encryption methods authenticated by VeriSign are employed when collecting or transferring sensitive data such as credit card and guests' personal information via a Secured Socket Layer (SSL).
Each Ultrabooking Solutions employee is subject to a confidentiality agreement, which would further restrict unauthorized disclosure of your guests and your personal information.
Credit card numbers are used only for processing payments and fraud prevention.
You are responsible for safeguarding your unique Ultrabooking Solutions User ID and password to prevent unauthorized access to your direct online inventory system.
E-mails to your guests and your company
Ultrabooking Solutions automatically sends an email to your guests upon their successful completion of the online booking process and to you about the confirmed reservation.
Both emails sent to your guests and your company contains a reservation reference number, booking details and customized information from you that was entered in the management module. The emails DO NOT INCLUDE CREDIT CARD INFORMATION.
In addition to the confirmation email, you can send custom emails that are sent a certain number of days selected by you before check-in (welcome email) and after check-out (Thank you email).
Ultrabooking Solutions does not contact your guests via email except in the instances stated above.
Privacy Statement Changes
Whenever there is a material update to the terms of Ultrabooking Solutions' Privacy Statement, we will use all commercially reasonable efforts to post notice of such change prior to implementation.
